Reports to: Director, People & Culture
Position Type: Part‑time. 1 year, with possibility of extension
Hours: Approximately 20 hours per week (Monday–Thursday, mornings)
Compensation: $28.70-31.80/hour
Location: Toronto, ON (in‑office required at least 3 days)
Schedule: Monday to Thursday. 5 Hours per day.

About the role
YWCA Canada is seeking a Part‑Time Administrative & Office Coordinator to play a key role in keeping our national office running smoothly. This position leads day‑to‑day office operations and provides administrative and coordination support to Directors, while also contributing to internal culture, engagement initiatives, and onboarding coordination. The role is well‑suited to someone who is organized, service‑oriented, and comfortable managing multiple priorities in a collaborative office environment.
Key responsibilities
Administrative
- Provide administrative support to Directors as needed.
- Monitor and respond to the main inbox, mail and phone line, and route inquiries appropriately.
- Answer and manage phone messages, correspondence, and mail distribution.
- Schedule and coordinate meetings, including room bookings and logistics.
- Book travel arrangements and support expense and credit card reporting.
- Take minutes for key internal meetings as required.
Office operations
- Ensure the office is clean, organized, and properly set up for daily use.
- Oversee day‑to‑day office operations, including meeting room and desk coordination.
- Maintain office supplies, snacks, and shared equipment inventory, in collaboration with Finance.
- Liaise with facilities and building management, escalating issues as needed (e.g., temperature, maintenance).
- Coordinate external service providers such as cleaners, pest control, or maintenance vendors.
Onboarding, coordination & HR support
- Coordinate onboarding logistics for new employees, including scheduling orientation sessions and internal meetings.
- Support onboarding and offboarding processes from a logistics and coordination perspective.
- Support HR with office‑related guidelines, health and safety documentation, and incident records as required.
Culture, engagement & events
- Support internal culture and employee recognition initiatives.
- Coordinate internal and external events such as team meetings, off‑sites, learning sessions, and staff gatherings (in collaboration with internal leads).
- Organize team‑building activities and host monthly virtual engagement activities (e.g., online games).
Qualifications & skills
- 1+ years of similar experience
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and priorities independently.
- Comfortable working both collaboratively and autonomously.
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with CRMs is an asset.
- Demonstrated ability to handle sensitive information with discretion and confidentiality.
- Previous experience in an administrative, office coordination, or support role is an asset.
